Which workflows are a good fit for AI?

I usually start by speaking with the relevant people in the business to understand how things work today. Think of your business as a process made up of smaller processes, each of which can be broken down further.

At the broadest level, a business follows this sequence:

Find a customer → Make a sale → Receive payment → Deliver a product or service → Complete the process.

To find where AI fits, we need to break these processes down until we can identify specific activities where AI could help and assess whether using it would be worthwhile.

People often assume that a task requiring human knowledge and experience is unsuitable for AI. That assumption treats AI as something used only for fully automated processes. Today's advanced AI tools also support workflows in which people and AI work together. This creates opportunities to improve the business and expand what your employees can achieve.

Who will you be working with?

Yaron Shaool

My name is Yaron Shaool. I'm 52 (but feel 32). I grew up on Kibbutz Revivim in southern Israel, and I'm married to Eleyor; together, we have four children. I have an MSc in industrial and management engineering (information systems) from Ben-Gurion University.

Over the past 25 years, I've worked in entrepreneurship, technology and venture management across several fields, including many years running an online business. In the past two years, I've founded two ventures built around AI systems: Safeion.ai and Whagentize.com.

My experience with technology and AI has strengthened my belief that personal connections, listening and trust are the foundation of successful work. I work directly with my clients to understand both what you're asking for and what your business goals are.

What is an AI workflow?

An AI workflow is a system that can take a task or goal, use the information and tools available to it and carry out a series of actions to reach a result. For example, it could receive a customer enquiry, identify the topic, find relevant information, prepare a reply, update a system and hand the enquiry over to a person when human judgment is needed.

I divide AI workflows into two groups:

  • A process that an agent runs independently up to a defined point, where an employee steps in.
  • A collaborative workflow in which an employee works with desktop AI tools such as ChatGPT Desktop or Claude Desktop, following a defined workflow and using a set of tools that provide access to the organisation's systems.

Personal and team agents

Agents that help with research, information analysis, preparing documents in a specified format, writing, decision-making and repetitive tasks. An agent can be tailored to a particular role, the team's way of working and the information it is authorised to use.

Automation between systems

Workflows that move information between forms, email, documents, websites, CRM systems, spreadsheets and other systems. These workflows can combine predefined rules, AI and steps that require human approval.

Agents and bots

Solutions that receive enquiries, collect details, answer questions using approved information, classify enquiries and route them to the right person. Conversations can also connect to other systems, create follow-up tasks and help your business track enquiries that still need attention.

Content and marketing workflows

Support with research, content planning, drafting, adapting content for different channels, preparing newsletters and updating website content. The aim is to reduce repetitive work while keeping your team's voice, knowledge and judgment at the centre of the process.

Internal knowledge systems

Solutions that let employees find information, ask questions and get answers from your business's documents, procedures and approved information sources.

A note on working together: For workflows where people and AI work together, the greatest benefit comes from joint working sessions with you, held online with screen sharing. We combine building the workflow with training you to use it.

Clear, fair pricing

Pricing depends on the complexity of the workflow, the number of systems it needs to connect to, the type of information involved, the level of oversight required and the maintenance needed. We can work by the hour through a prepaid block of hours, on a defined project or through ongoing maintenance and support — whichever works for you.

  • My hourly rate is $100.
  • For project work, pricing is based on my estimate of the hours required, and you'll receive a clear written quote.
